Name the destination beyond the port

Give the intended final location in Uganda as well as the port proposed by your supplier. Ask whether the quotation stops at the port, includes a later handover, or leaves inland transport to your appointed provider. A destination country on a form does not establish a confirmed route or delivery service.

List the planned handover points and the contact responsible at each one. Confirm who handles release instructions, original documents, transport bookings and delays. Obtain a written explanation of any transit or customs arrangement from the appropriate agent; do not assume another buyer’s shipment follows the same procedure.

Ask how the customs estimate was prepared

URA publishes a motor-vehicle value guide and explains its scope and limitations. Ask your agent which current reference and vehicle description they used and how the estimate relates to the actual assessment. The invoice price and a database reference should not be treated as interchangeable figures without explanation.

Supply the exact model, year, engine, powertrain and identifier needed to resolve a match. If a proposed vehicle differs from the reference entry, have the agent explain the difference before you approve a budget. Keep the date, assumptions, charges and person responsible with the estimate, and update it when the vehicle or purchasing schedule changes.

Make a condition record that survives multiple transfers

Request dated photographs before loading, at the agreed port handover and before the final delivery acknowledgement. Tie each set to the same VIN or chassis number. Include the exterior, cabin, visible damage, odometer, keys and accessories that form part of the agreement.

Agree how a new mark or missing item will be recorded and reported. Identify who receives the evidence and which written terms govern a claim. A port inspection, an inland transporter’s receipt and a mechanical inspection cover different stages; one record should not silently stand in for the others.

Describe the work the vehicle will do

A dealership stock order and a fleet working vehicle may need different checks. Describe passenger or load requirements, road use, maintenance support and the equipment important to you. Set acceptable mileage, repair history and service-document requirements before a supplier proposes individual units.

Compare the actual configuration rather than the appearance of a catalogue illustration. For a pickup, confirm the requested cab and drivetrain; for an electric option, ask for battery and charging evidence relevant to your intended use. A familiar model name does not establish that the specific vehicle fits the job or current import requirements.

What to do when a point remains unverified

  1. The inland handover is outside the quote

    Evidence to request
The port release point, intended final location and provider responsible for each stage.
    Next action
Obtain a separate scope for the gap. Do not compare a port-only figure directly with a completed-delivery figure.
  2. The customs estimate uses an unclear reference

    Evidence to request
Vehicle details, the reference period and the agent’s explanation of the estimate.
    Next action
Resolve the model or configuration mismatch before approving the budget; retain the authority’s final assessment separately.
  3. There is no record between two transport stages

    Evidence to request
Dated identifier-linked photos, handover notes and an agreed list of keys and accessories.
    Next action
Arrange the missing condition record before the next transfer, so a later discrepancy has a documented timeline.
  4. The proposed route changes

    Evidence to request
Updated handover points, insurance scope, charges and document responsibilities.
    Next action
Reconfirm the written scope before proceeding. An earlier estimate should not silently stand in for the changed journey.

What to include in your sourcing brief

  • Models, years, quantities and working-use requirements
  • Vehicle identity, condition limits and required evidence
  • Proposed port and final delivery location in Uganda
  • Who will arrange customs advice, inland transport and each handover
  • Budget basis, date and assumptions behind the destination estimate

The catalogue contains model references and illustrations. Actual availability, condition, eligibility and commercial terms require individual confirmation.

Model references for your brief

Use these pages to describe your requested configuration; a model reference does not certify an individual vehicle’s eligibility.
